Where PVLTRA processes personal data exclusively on a customer’s documented instructions in order to provide a service, PVLTRA may act as a data processor. In such cases, the processing will be governed by an appropriate data processing agreement.

Data processed:identification and professional details, information about your organisation’s needs, communications and meeting notes.
Purpose: to prepare and conduct the demonstration, explain how PVLTRA works, answer questions and assess a potential commercial fit.
Legal basis:
- Taking pre-contractual steps.
- Legitimate interest in managing the requested professional relationship.
Meetings will not be recorded without prior notice. Where recording is proposed, it will be based on the participants’ consent.
Retention: commercial notes may be retained for up to 24 months after the last interaction. Recordings, where made, will be retained for no longer than 12 months unless a different specific period is communicated.
4.3. Managing customers, agreements and licences
Data processed: representative, user, contact, licence, billing, agreement and communication data.
Purpose:
- Preparing and entering into agreements.
- Administering orders and licences.
- Managing activation, renewal and termination.
- Providing contracted services.
- Managing invoices and payments.
- Maintaining the customer relationship.
- Meeting contractual and administrative obligations.
Legal basis:

Where the relevant technical functionality is enabled, PVLTRA may process aggregated or technical information relating to versions, errors, performance, compatibility and feature use.

PVLTRA will not use the technical content of customer projects to train artificial-intelligence systems or for unrelated commercial purposes without providing prior information and identifying a valid legal basis.
